What we collect when you use cogniden.com, why we collect it, and the choices you have.

1. Who we are
Cogniden (“Cogniden”, “we”, “us”) is a remote content studio providing post production, motion design, AI assisted creative production, social media management, and web development. This policy explains how we handle personal information collected through cogniden.com (the “Site”). For any privacy question, contact us at socials@cogniden.com.
Personal information we receive while delivering a paid project (for example, footage or files you share with us) is handled under the agreement for that project, together with this policy.
2. What we collect
Information you give us
- Contact form: your name, email address, phone number, and, if you choose to provide them, your company, the service you are interested in, project details, and your message.
- Newsletter sign-up: your email address.
- Email and calls: anything you choose to include when you write to us or speak with us directly.
Information collected automatically
- Browser details: when you submit a form we record your browser’s user agent (the browser and device type it reports).
- IP address: used briefly to limit repeated form submissions and prevent spam. We do not store your IP address itself; we store only a one-way hashed version of it alongside your submission, which helps us spot abuse.
- Server and delivery logs: our hosting and video delivery providers keep standard technical logs (such as IP address, date, time, and pages or files requested) to operate and secure their services.
We do not use advertising or analytics cookies, and the Site does not set tracking cookies of any kind.
3. How we use it
- To reply to your enquiry and discuss, quote for, and deliver a project.
- To send the newsletter you signed up for.
- To protect the Site from spam, abuse, and security threats.
- To keep records we need for accounting, tax, or legal reasons.
We do not sell your personal information, and we do not use it for automated decisions about you.
4. Legal bases (UK and EU visitors)
If you are in the UK or the European Economic Area, we rely on:
- Steps before a contract: responding to an enquiry you send us about our services.
- Consent: sending the newsletter. You can withdraw consent at any time.
- Legitimate interests: keeping the Site secure and preventing spam, and keeping reasonable business records.
- Legal obligation: where we must keep records by law.
5. Who we share it with
We share personal information only with service providers that help us run the Site, and only as much as they need:
- Neon hosts the database where form submissions are stored.
- Resend delivers the email notifications we receive when you submit a form.
- Cloudinary hosts and streams the videos on the Site.
- Our web hosting provider runs the servers the Site is served from.
We may also disclose information if required by law, to protect our rights or the safety of others, or as part of a merger or sale of our business, in which case the new owner would be bound by this policy.
6. International transfers
We work remotely with clients around the world, and our service providers may process data in countries other than yours, including the United States. Where the law requires it, we rely on appropriate safeguards such as the providers’ standard contractual clauses.
7. How long we keep it
- Enquiries: up to 24 months after our last contact with you, unless the enquiry becomes a project, in which case we keep project records for as long as needed for that work and our legal obligations.
- Newsletter: until you unsubscribe.
- Spam protection: the IP address used for rate limiting is held in memory for about ten minutes and is not written to storage.
8. Your rights
Depending on where you live, you may have the right to access the personal information we hold about you, correct it, delete it, restrict or object to how we use it, receive a copy of it, and withdraw consent at any time. To make a request, email socials@cogniden.com. We will respond within 30 days and may need to confirm your identity first.
You can unsubscribe from the newsletter at any time by emailing us or using the unsubscribe link in any newsletter we send.
If you are in the UK or EEA and are unhappy with how we have handled your information, you can complain to your local data protection authority, such as the Information Commissioner’s Office in the UK. We would appreciate the chance to resolve it with you first.
9. Security
The Site is served over HTTPS, access to submitted data is limited to people who need it, and we store IP addresses only in hashed form. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we take reasonable steps to protect your information.
10. Children
The Site is intended for businesses and professionals and is not directed at children under 16. We do not knowingly collect their personal information. If you believe a child has sent us information, contact us and we will delete it.
11. Other websites
The Site links to other websites, including our social media profiles. Their privacy practices are their own, so please review their policies.
12. Changes to this policy
We may update this policy from time to time. The date at the top shows when it last changed. Significant changes will be highlighted on this page.
